Job Summary

 The Top Gun Program Support Specialist plays a critical role in supporting the Program Director to ensure the smooth execution and success of the Top Gun Program. This position is responsible for managing program logistics, maintaining accurate candidate records, ensuring timely communication, and coordinating with Operating Directors (ODs) and candidates during field training. The Specialist serves as the central hub for deadlines, travel, surveys, and data tracking, while also assisting with outreach, branding, and special projects.

Responsibilities and Duties

  • Program Logistics & Administration
    • Track and manage all trainee deadlines, ensuring timely completion of assignments, surveys, and program requirements.
    • Coordinate candidate travel arrangements, including flights, hotels, and rental cars.
    • Oversee laptop ordering, set-up coordination, and distribution for incoming trainees.
    • Draft and send transition emails for program milestones (onboarding, field training, graduation, etc.).
  • Candidate & OD Communication
    • Act as the liaison between Operating Directors and Top Gun candidates while in field training.
    • Ensure candidates receive consistent program updates, resources, and reminders.
    • Provide proactive communication to keep all parties aligned and informed.
  • Data & Metrics Tracking
    • Maintain accurate and up-to-date candidate tracking sheets, including deadlines, performance, and completion status.
    • Compile and analyze program metrics to support reporting and continuous improvement.
    • Ensure survey data is collected, stored, and reported accurately.
  • Program Outreach & Branding
    • Assist with Top Gun program brand promotion, including internal communications and external awareness campaigns.
    • Support in developing creative outreach strategies to highlight program success stories.
  • Special Projects & Support
    • Partner with the Program Director on special initiatives, program enhancements, and process improvements.
    • Provide administrative and operational support as needed to ensure program excellence.

Qualifications and Skills

  • Strong organizational and project management skills with proven attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite, Google Workspace, or similar productivity tools.
  • Comfortable managing multiple deadlines in a fast-paced environment.
  • Collaborative team player with the ability to work independently.
  • Prior experience in program coordination, training support, or operations preferred.
